Send Facebook lead ad leads to your CRM automatically

Check Leads access first, because once it is customized a new CRM receives nothing until it is assigned. Connect the CRM from Instant forms, CRM setup in Meta Business Suite, or through Zapier if your CRM lists it that way. Map the Meta lead ID too. Then send a test lead and see it arrive.
Before you start
- Admin of the Facebook Page, with leads access permission. Meta lets a Page admin who has it connect a CRM.
- An account with your CRM, and a Zapier account if your CRM connects through Zapier.
- Somewhere in the CRM to store the Meta lead ID. It is a 15 to 17 digit number. Meta recommends sending it with each event if you later send lead quality back through the Conversions API, so add the field now.
Check Leads access before connecting anything
If this setting has been customized, a connected CRM receives no leads until it is assigned here. Until someone with full control of the business portfolio customizes it, every Page admin and anyone with messaging permission can download leads, and a connected CRM receives them. After that, new people and CRMs have to be added by hand.
- In Meta Business Suite, choose your business portfolio, click Settings, then Integrations, then Leads access.
- If a Customize access popup appears, leads access has not been enabled from your account. Close it rather than clicking it: clicking it and then Confirm starts customization, and after that every new person and CRM has to be added by hand.
- If a list of people, partners and CRMs appears, it has been customized. Note that the CRM is not listed yet; you will assign it after connecting. If your CRM fetches leads with a user or Page access token, as a custom integration does, the person behind that token must be on the People tab too.
Connect the CRM
Connect from Meta Business Suite's own CRM list, which hands you to the CRM's site or to Zapier. If you go through Zapier, map the lead ID there.
- In Meta Business Suite, click All tools, then Instant forms, then the CRM setup tab.
- Search for your CRM and select it. If it shows Connect from website, click it and finish on the CRM's site. If it says by Zapier, click Connect and follow the Zapier steps below. Meta notes not every Zapier listing carries that label.
- Through Zapier: authorize Zapier, choose the Meta account, then choose the Facebook Page and the Instant form. Click Test trigger. Under Set up an action, choose your CRM account, and under Select an action, choose the action, usually Create contact. Meta's steps have you pick one Page and one instant form, so check later that each new or duplicated form is covered by a Zap.
- Map each form field to its CRM field, email to email and so on, and map the lead ID to the field you created. Meta notes the lead ID shows in Zapier's menu only if the field already exists in the CRM. Click Test action, check the contact appeared in the CRM, then Create Zap.
- If Leads access was customized, go back to Leads access, click Assign CRMs, select the CRM and click Assign.
A CRM connected from its own website cannot be edited or disconnected from Business Suite; Meta points you to the CRM provider's website for that.
Send a test lead and watch it arrive
Meta's Lead Ads Testing Tool sends a real notification for a fake lead, so it follows the same webhook path a real lead does, not just the connection screen.
- Open the Lead Ads Testing Tool at developers.facebook.com/tools/lead-ads-testing and select your Page, then the form. The list shows only Pages you have advertiser access to.
- Click Create Lead. Click Preview Form first if you want to type your own test details instead of dummy data.
- Click Track Status until the status changes from pending. success means the notification was delivered; failed shows an error code.
- Find the test lead in the CRM. Then click Delete Lead, because Meta allows one test lead per form and the next test needs the slot.
Check it worked
The test lead is in the CRM with every field in its right place and the lead ID filled in. That is the proof, not a connected status on the setup screen.
After the first week of real leads, download the form's leads from All tools, Instant forms, Download, Download by date range in Business Suite and count them against the CRM for the same days. They should match. Repeat the count once a month: a delivery that stops quietly shows up only as a gap between the two, and Meta keeps the leads for 90 days, so the download is how you recover them.
My CRM is not in the list
Meta's routes are a direct integration, a third-party tool such as Zapier, or a custom integration built on Meta's webhooks and Graph API. Its help also offers Google Sheets and Microsoft Excel as destinations. You can still download the leads without any of them, for 90 days after each lead submits.
What a custom integration needs
The notification Meta sends for each lead carries no answers. It carries the lead's ID, and the integration then fetches the lead, which needs a Page or user access token from someone who can advertise on the Page, the leads_retrieval permission, and leads access for the person behind that token. If the fetch is refused, the lead is announced but never lands. Track Status in the testing tool shows the notification, so also confirm the lead's details reached the CRM.
Test leads in my reports
Leads made with the testing tool are organic leads tied to no ad, so Ads Manager's Results does not count them, but your CRM does. Delete them from the CRM after testing so they do not inflate your own lead counts.
