Change a Facebook instant form that is already running
Updated October 20, 2026
20 minutes
A published instant form cannot be edited, so duplicate it, change the copy and publish it. Select the copy in the ad's Destination section. Then update whatever was tied to the old form: a Zapier connection picks one form, and tracking parameters and field names live on the form. Send a test lead, then archive the old form.
Before you start
- Access to the ad account in Ads Manager, and a role on the Page the form belongs to.
- A list of everything that reads the form: a Zapier connection, a CRM's field mapping, tracking parameters, a spreadsheet that expects certain columns. These are what break when the form changes.
- The list of ads that use the form. One form can sit on several ads, and each one has to be switched to the copy by hand.
Make the changed copy
Duplicate the published form and make your changes on the copy, because Meta locks a form once it is published.
- In Ads Manager, open the ad and go to the Destination section (Meta's edit guide calls it the Instant form section), where the ad's instant form is listed.
- Hover over the form and click the duplicate icon. Name the copy so it is clear which is newer, for example with the date.
- Make your changes. If you used tracking parameters, open the copy's Settings, then Tracking parameters, and add any that are missing.
- Click Publish, or Save draft if you are not finished. A draft can still be edited; a published form cannot.
You can also duplicate from Meta Business Suite: All tools, Instant forms, Create form, Duplicate an existing form.
Swap it onto the ad and update what read the old form
Select the copy on every ad that used the old form, then repoint whatever read the old one, because Meta saves the copy as a new form.
- In the ad's Destination section, select the new form and publish the ad.
- Repeat for every ad that used the old form. Any ad left on it keeps collecting leads into the old form.
- In Zapier, open the Zap that sends these leads on and select the new form under Instant form. A Zap reads the one form you chose.
- If your CRM matches fields by name, open the copy's Settings, then Field names, and set the same names the old form used. Meta says custom field names change the column names in your download and in what your CRM receives, and its tracking parameters page notes a new form may need field names set to match your CRM.
- Send a test lead to the new form with the Lead Ads Testing Tool (developers.facebook.com/tools/lead-ads-testing) and confirm it reaches the CRM with every field filled in. The tool makes one test lead per form, with dummy data unless you click Preview Form; delete it to send another.
Meta's help pages do not say whether swapping the form counts as a significant edit. They do list any change to ad creative as one, and a significant edit sends the ad set back into the learning phase, so check the Last significant edit column and watch delivery for about a week.
Retire the old form
Download the old form's leads, then archive it so the form list only shows what is in use.
- Download the old form's leads first, from All tools, Instant forms in Business Suite. Meta lets you download each lead for up to 90 days after it is submitted.
- Next to the old form, click Actions, then Archive, then Archive again. It leaves the list. To bring it back, click Filters, select Archived under Status, click Apply, then next to the form click Actions and Reactivate.
Ads Manager saves only the 100 most recent instant forms. Archiving the old copies keeps the list readable.
Check it worked
Open each ad that used the form and read the form name in Destination: it should be the new one everywhere. Then download the new form's leads after the first real submissions and confirm they carry the new questions and, if used, the tracking parameter columns.
In the CRM, the first real lead after the swap should arrive with the same fields filled as before. If leads stop arriving while Ads Manager shows new Results, check whether the Zap or CRM mapping still points at the old form, whether its connection needs authorizing again, and whether any ad is still on the old form.
Will a new ad instead of a swap avoid the learning phase?
No. Meta lists adding a new ad to an ad set as a significant edit, so the ad set goes back into the learning phase either way. A second ad in the same ad set, carrying the new form, is still useful when you want to compare the two forms side by side for a week before pausing the weaker one; it just does not spare the ad set a relearn.
